AI Intake for MyCase Firms

Updated July 26, 2026 · SwiftAppLab · By the team behind NeverMissAI

NeverMissAI is an AI intake receptionist for law firms running MyCase. It answers every call 24/7 in English and Spanish, captures the matter type, jurisdiction, urgency, and opposing party, and books the consult into your Google Calendar — then texts and emails you the full intake to paste into MyCase. Native MyCase sync isn't built yet. Plans from $97/month.

What ships today — and what doesn't

Here's what ships today with no rounding. The AI answers, runs your practice-area intake, and books the consultation into the firm's Google Calendar — the one live integration, and the only system NeverMissAI writes to. Everything else arrives as a complete structured intake by text and email — matter type, jurisdiction and county, urgency, any known court or filing date, named and opposing parties for the conflict check you run, prior representation, callback number, plus the recording and transcript — which someone at the firm keys into MyCase as a contact and matter. There is no native MyCase sync yet. MyCase does publish a public API, so a connector is technically feasible — but none is built today, and this page only describes what already works.

What MyCase is good at

MyCase is a cloud law-practice-management platform from AffiniPay covering matters, contacts, calendaring and deadlines, documents, time tracking, invoicing and payments, and a client portal. It also ships a lead-management module — online intake forms and a prospective-client pipeline — plus firm texting from a dedicated number. MyCase publishes a public API with public developer documentation; API access is tied to its top subscription tier.

Who runs it: Solo attorneys and small firms above all — MyCase states that 19,000+ law firms use it. Its own marketing leads with criminal defense, family law, immigration, bankruptcy, personal injury, and trust and estate practices, which maps almost exactly onto the three legal verticals we write for.

Where the phone still gets missed

MyCase organizes a matter beautifully — from the moment the matter exists. But it doesn't exist until somebody answers the phone and takes the intake, and intake forms and the client portal only catch the people who found your site and were willing to type. The 2 AM arrest call, the RFE panic call at lunch, the injured caller working down a list of firms: those are phone calls, and at a solo or small firm the phone gets answered by whoever isn't in court.

The mismatch is worst in exactly the practice areas MyCase leads with. Arrests happen on nights and weekends; your office answers weekdays. USCIS mail lands midday and your clients call on their break because they work all day, and half of them would rather explain it in Spanish. In every one of those cases the caller doesn't leave a voicemail — they call the next name in the results, and that firm gets the retainer.

MyCase organizes a matter beautifully from the moment it exists — but the matter doesn't exist until someone answers the phone and takes the intake. Intake forms and the client portal only catch people who found the website and were willing to type; the 2 AM arrest call, the RFE panic call at lunch, and the injured caller working down a list of firms are all phone calls, and a solo or small firm's phone is answered by whoever is not in court.

How a call reaches MyCase today

The call is answered instantly — nights, weekends, and the Monday-morning pile-up — and the AI takes the intake without giving a word of legal advice. The consult goes onto the firm's Google Calendar, which most MyCase firms already keep in sync using MyCase's own Google Calendar connection, so it shows up where you already look. The full intake hits your phone and inbox in seconds, and someone creates the contact and matter in MyCase from it and runs the conflict check.

  1. The call is answered instantly instead of going to voicemail — nights, weekends, and the Monday-morning pile-up included, in English or Spanish.
  2. The AI runs your practice-area intake: matter type, jurisdiction and county, urgency and any known court or filing date, opposing or named parties for the conflict check you'll run yourself, prior representation, and a callback number — while giving no legal advice and making no predictions.
  3. It books the consultation into the firm's Google Calendar, which is the only live calendar write today. Many MyCase firms already keep MyCase and Google Calendar in sync using MyCase's own Google Calendar connection, so the consult shows up where they already look.
  4. A text and an email arrive with the full intake plus the recording and transcript, so the attorney can decide whether to take the matter before the consult happens.
  5. Someone at the firm creates the contact and the matter in MyCase from that summary and runs the conflict check. That step is manual today — but it's transcription of a finished intake into fields, not a discovery call, and it takes seconds because every field the intake needed is already sitting in the summary.

The objection MyCase users raise

“People call me at 2 AM in the worst moment of their lives. They need a human, not a bot.”

At 2 AM they're currently getting your voicemail, and they don't leave one. The comparison isn't the AI versus you — it's the AI versus the next firm's phone. It answers on the first ring, gets the county, the charges as understood, the custody status, and the arraignment date, tells the family the one thing nobody tells them (jail calls are recorded — talk logistics, not the case), and wakes you only for the calls that are genuinely urgent. Your best intake person, if she happened to be awake, would do exactly this. The AI just never isn't awake.

The rules this respects

The AI gives no legal advice, evaluates no case, predicts no outcome, and quotes no fee beyond what the firm configures — it collects facts, flags urgency, and books the consult. For criminal defense it holds the recorded-line discipline on every call: it never asks an in-custody caller what happened, and it tells families that facility calls are recorded. For immigration it deliberately under-collects status history, because a frightened caller on a recorded line deserves restraint. Asked whether it's an AI, it says yes. Bar advertising and UPL rules are the firm's to satisfy, and the intake script is configured with that in mind. On confidentiality: calls, recordings, and transcripts are the firm's data; HIPAA support with a signed BAA is available on the Business plan for firms that need it (personal injury practices handling medical records often do).

Frequently asked questions

Does it sync with MyCase automatically?
No, not yet — and we'd rather say so than fudge it. Google Calendar is the only system NeverMissAI writes to today. For MyCase, you get the full intake by text and email within seconds of the call — matter type, jurisdiction, urgency, court or filing dates, named and opposing parties, prior representation, callback number, plus recording and transcript — and someone at the firm creates the contact and matter from it. MyCase does have a public API, so a connector is technically feasible — but none exists today.
Is what callers say confidential, and can we get a BAA?
Call recordings, transcripts, and intake summaries are your firm's data and go only to the people you designate — your phone, your inbox, your dashboard. For firms that need HIPAA terms, HIPAA support with a signed BAA is available on the Business plan; personal injury practices handling medical records usually want this. We don't make a blanket compliance claim, because it depends on your plan and configuration — if you need a BAA, the Business plan is the answer and we'll sign one.
Will it give legal advice, quote a retainer, or run my conflict check?
None of the three. It gives no legal advice and makes no predictions about outcomes. On fees it says exactly what you configure — many firms have it state the consult policy and leave retainer numbers to the attorney. And it doesn't query MyCase, so it can't clear a conflict; what it does is capture the named and opposing parties cleanly so the check you run takes a minute instead of a phone tag.
Can it handle a call from someone in custody?
Yes, and with better discipline than a rushed human at 2 AM. Facility calls are recorded, so the script never asks an in-custody caller what happened — it collects charges as understood, county, custody status, next court date, and an outside contact, and steers to logistics. It also warns family members that jail calls are recorded. That rule holds on every single call because it's built into the intake, not left to somebody's judgment.
Does it really speak Spanish, or transfer to a Spanish line?
It speaks it. Same receptionist, same voice, switching the moment the caller does and following them back to English if they switch again — no 'press 2', no separate number, and it's on every plan. For immigration and criminal work that's often the whole difference between an intake and a polite dead end.
