INTEGRATION

AI Receptionist for Mindbody Users

Updated July 26, 2026 · SwiftAppLab · By the team behind NeverMissAI

NeverMissAI answers the phone for the studios and spas that run on Mindbody. It picks up 24/7 in English or Spanish, handles intro-offer and class questions, qualifies first-timers, and books into your Google Calendar — the one integration that ships today — then texts and emails you a full summary to enter in Mindbody. Plans from $97/month.

What ships today — and what doesn't

Here is exactly what ships today, because you deserve the real answer before you enter a card. The AI books appointments into your Google Calendar, and it texts and emails you a complete summary of every call — caller, number, what they wanted, every intake field, and a link to the recording and transcript. What it does not do is write into Mindbody: there is no native two-way sync, no client record created, no appointment appearing on your Mindbody calendar by itself.

What Mindbody is good at

Mindbody is the booking and business-management platform that most fitness, beauty, and wellness businesses in the US either run on or have run on. It handles class and appointment scheduling, memberships and autopay, class packs and intro offers, POS and retail, staff management, and reporting in one system. It also puts your business on the consumer-facing Mindbody app, which is a real acquisition channel — people browse for a studio there the way they browse for a restaurant.

Who runs it: Studios, spas, and salons — yoga and pilates studios, martial arts academies, dance studios, gyms and personal training, day spas and med spas, massage, salons and barbershops. Mostly single-location owner-operated businesses with a small front-desk staff, up through small multi-location brands. Mindbody's own site lists gyms, yoga, pilates, dance studios, martial arts, day spas, med spas, chiropractic, physical therapy, and salons among the business types it serves.

Where the phone still gets missed

Mindbody runs the business well. Class packs, memberships and autopay, waitlists, no-show rules, retail at the desk, and a consumer app that sends you clients who were never searching your name — that's a lot of studio, handled. What it can't do is pick up a phone, because a phone needs a person, and your person is teaching the 6pm or gloved in a treatment room with the door shut.

So the calls that don't self-serve pile up in the gap. The parent asking whether you take five-year-olds. The first-timer who wants to hear a voice before she books a consult about her forehead lines. The regular whose kid got sick and who will absolutely take a late-cancel fee rather than sit on hold. None of them leave a voicemail. They call the next studio on the list, and that studio's phone gets picked up.

Mindbody's front-desk AI is text-first by design: Messenger[ai] follows up on missed calls with a text, and Mindbody's own launch copy for AI Concierge describes supporting clients "across web, SMS, and missed calls" and following "up by text if we can't pick up." That works, but it starts from the premise that the call was already missed — and AI Concierge is currently limited to Ultimate single-location subscribers in a handful of countries. Meanwhile the caller who wanted to hear a voice about her first Botox consult, or a parent asking whether you take five-year-olds, is standing in the ring-out.

How a call reaches Mindbody today

Your line forwards to the AI, it runs your intake, and it books into Google Calendar if you've connected it. Seconds later a text and an email land with the whole call laid out — service asked for, first-timer or member, timing, callback number, recording link. Whoever runs your desk opens Mindbody and creates the client and appointment from that summary, which is a paste-and-confirm rather than a call-her-back-and-ask-it-all-again.

  1. Forward your studio line to your NeverMissAI number (or port the number outright). The AI picks up on the first ring, 24/7, in English or Spanish — it switches the moment the caller does.
  2. It runs the intake you configured: which service or class they're asking about, first-timer or existing client, whether they're on an intro offer or a membership, when they want to come in, and the callback number.
  3. If you connected Google Calendar during onboarding, the AI books the slot there directly. That is the one write-into-your-systems that ships today — no Mindbody record is created.
  4. Within seconds, you and whoever runs your desk get a text and an email with the whole call: caller name and number, what they asked for, every field captured, and a link to the recording and transcript.
  5. Someone opens Mindbody and creates the client and the appointment from that summary. Because the summary is structured — name, service, timing, first-timer flag, callback number — it's a paste-and-confirm that takes seconds, not a call-them-back-and-re-ask-everything.

The objection Mindbody users raise

“Mindbody already gave me Messenger[ai], and now there's AI Concierge. Why would I pay for a second AI to do the same job?”

Because they're doing a different job, and Mindbody says so themselves — their AI Concierge announcement describes supporting clients across web, SMS, and missed calls, and following up by text "if we can't pick up." That's the tell. Mindbody's tooling is genuinely good at what happens after the phone rings out: it texts the caller back and converts a real share of them. NeverMissAI is what picks the phone up in the first place, in a voice, while she's still holding it. The two are not substitutes — one recovers the call, the other never loses it. Worth knowing too: AI Concierge is currently limited to Ultimate single-location subscribers in a handful of countries, so plenty of Mindbody shops don't have the text-back option in the first place. And if the caller genuinely wants a conversation — the nervous first-timer, the parent with four questions about your kids' program — a text thread is not what she called for.

Frequently asked questions

Does it sync with Mindbody automatically?
No — not yet, and we'd rather tell you now than after you've paid. Google Calendar is the only booking integration we ship today. Every call comes to you as a text and email summary with all the intake fields filled in, and someone enters it in Mindbody from there — a few seconds per call, because nothing has to be re-asked.
Is a Mindbody connector even possible, technically?
Yes. Mindbody has a mature Public API (v6) with endpoints for appointments, clients, classes, and sales, plus webhooks — it's a well-trodden path. The practical catch is that API access is partner-approval gated on Mindbody's side, so the connector isn't a weekend build and the timeline isn't fully ours to control. That's exactly why we won't put a date on it.
Can it sell an intro offer or a class pack over the phone?
It quotes them. The AI states your configured intro offer, pack pricing, and membership terms exactly as you set them, and books the visit — but it doesn't run the card or create the contract, because those live in Mindbody and it doesn't write there. In practice, callers arrive already knowing what they're buying, and your desk closes it at check-in.
What happens with a class that's full — can it handle the waitlist?
It can't add anyone to a Mindbody waitlist, since that's a write into Mindbody. What it does is capture the request cleanly — who, which class, which time — and flag it in your summary so your desk can add them, usually before the caller has finished parking. If your studio wants callers told about a specific alternative class instead, the AI will say that rather than leave them with nothing.
What does it cost, and how long until it's answering?
Plans are $97, $297, and $497 per month, sized by answered calls — roughly 80, 240, and 400 a month, with 200, 600, and 1,000 included minutes and $0.45–$0.50 per minute past that. Onboarding takes about five minutes: your services, hours, intro offers, escalation rules, and calendar. Forward your line and it answers from that moment on.

Let it answer your evening calls first

Most studios start by forwarding the hours nobody's at the desk — evenings, weekends, the middle of a class. About five minutes to set up, first 60 minutes free, $0 due today.
